The FOOMA Japan Organizer and Secretariat obtain personal information (name, employer, location, department, title, email address, phone number, fax number, visitor questionnaire data) through visitor pre-registration for FOOMA JAPAN, registrations for seminars/symposiums, etc., held by the FOOMA JAPAN Organizer or by the FOOMA JAPAN Organizer in conjunction with other companies/organizations, registrations for exhibition, and various inquiries made by users regarding FOOMA JAPAN-related businesses.
When asked to provide personal information, those who are pre-registering for FOOMA Japan, registering to exhibit, or registering for any other purpose (hereinafter referred to as “Users”) will be presented with the purpose of use for this personal information, and asked to consent to this use.

Purpose of Use for Personal Information

The FOOMA JAPAN Organizer and Secretariat will use the personal information they have obtained with the consent of users, as follows.

1. Sending QUICK PASSES (visitor admission badges) and exhibition-related information to Users who have pre-registered
2. Sending Users tickets for the seminars/symposiums, etc., they registered for, and any related information
3. Billing Users exhibiting at FOOMA JAPAN their exhibition fees, and sending them information necessary for the operation of the exhibition
4. Sending Users information on projects/events hosted by the FOOMA JAPAN Organizer or Secretariat
5. Analyzing/extracting information in order to improve the services provided at the exhibition, etc., and planning for related services
6. Asking Users to provide opinions and feedback
7. Responding to inquiries and consultations

Management of Personal Information

The FOOMA JAPAN Organizer and Secretariat will strive to ensure the safety of their personal information management by rigorously managing the personal information obtained within the scope of use defined above, and taking the appropriate measures to prevent leaks, misappropriation, falsification, etc., of personal information.
When outsourcing the handling of personal information, the FOOMA JAPAN Organizer and Secretariat will establish a confidentiality agreement with the outsourced company, and will manage the handling and supervision of personal information.

Disclosure of Personal Information to Third Parties

The FOOMA JAPAN Organizer and Secretariat will not disclose personal information to third parties except in the following cases.

1. When the User agrees to the disclosure
2. When the User has the QR image on their QUICK PASS scanned while visiting a company’s/organization’s booth at an exhibition
   (The User’s personal information will be provided to the exhibiting company/organization in question in the form of visitor information)
3. When the User makes an inquiry to an exhibiting company/organization through the FOOMA JAPAN official website
   (The User’s personal information will be provided to the exhibiting company/organization in question in the form of visitor information)
4. When the User views content (catalog data, videos, online links, etc.) posted on the FOOMA JAPAN official website
   (The User’s personal information will be provided to the exhibiting company/organization in question in the form of visitor information)
5. When outsourcing all or part of the handling of personal information to an outside contractor, within the scope necessary to fulfill the purpose of use
6. When deemed necessary according to laws and regulations
7. When it is necessary for the protection of the life, physical health, or property of one or more individuals, and it is difficult to obtain the consent of the User themselves
8. When it is necessary for the improvement of public health, or the sound upbringing of children, and it is difficult to obtain the consent of the User themselves
9. When it is necessary to cooperate with the national or local government in the performance of their duties, and when obtaining the consent of the User may impede the performance of such duties

Viewing, Revising, and Deleting Personal Information

Users should contact the following Inquiry Desk for any inquiries regarding the viewing, revision of errors, and/or deletion of one’s own personal information.
The FOOMA JAPAN Organizer and Secretariat will disclose, edit, and/or delete the personal information in question once they are able to confirm that the inquiry was made by the User to whom the personal information belongs.
Note that User may be asked to provide documents to identify themselves and confirm that they are the User to whom the personal information belongs.

Method of Obtaining Specified Personal Information

The FOOMA JAPAN Organizer and Secretariat will comply with the Act Concerning Use of Numbers to Identify Specific Individuals in Administrative Procedures and the “Guidelines on the Appropriate Handling of Specified Personal Information (For Businesses)” regarding the handling of specified personal information.

The FOOMA JAPAN Organizer and Secretariat endeavors to ensure security by encrypting personal information provided through the FOOMA JAPAN official website using SSL (Secure Sockets Layer).
The FOOMA JAPAN Organizer and Secretariat will not be liable in any way for the security of Users’ personal information on third-party websites linked on the FOOMA JAPAN official website.
